Website Privacy Notice

Scope

This notice explains how At-Cost Home Services, LLC, doing business as At-Cost Roofing ("At-Cost," "we," "us," or "our"), collects, uses, discloses, and retains personal information through atcostroofing.com, At-Cost's estimate software at quote.atcostroofing.com and where embedded on the site, and the English and Spanish crew-application pages.

This notice does not cover authenticated homeowner, crew, signing, inspection, or operations applications. Those services have different data practices and require a separate application privacy notice. A link from this website to another service does not make that service part of this notice.

This notice is effective September 2, 2026.

Information we collect

Estimate information

When you request an estimate, we collect the property address, first and last name, email address, phone number, and project timing. Our estimate software may also create or obtain a standardized address, place identifier, latitude and longitude, property and roof imagery, roof area, slope and pitch, measurement source, storm information, products shown, estimate details, and the website or page from which the request originated. For an At-Cost request, we also record the accepted website-terms version and server acceptance time, plus your separately selected promotional email and calls-or-texts choices.

After you enter at least three characters in a homepage or crew application address field, the website sends that partial address text to the estimate provider before you submit the form. The provider uses Google Places to return optional suggestions. We label the request with At-Cost's fixed Dallas-Fort Worth business market so nearby results may rank higher; this soft bias is not derived from your IP address or device location, and the website does not request browser geolocation or exclude other addresses. You may ignore the suggestions and enter an address manually.

When you select an address suggestion in the crew application, we also send that selected address to the estimate provider to retrieve its city, state, and ZIP code before submission. These fields remain editable. The crew form does not save the coordinates returned by that lookup.

A selected or manually entered property address is carried to the estimate page in its URL, so it may appear in browser history and website infrastructure logs. The website then sends that address to our estimate service. Google describes its handling of information in the Google Privacy Policy.

Crew-application information

When you apply on behalf of a roofing crew, we collect the company name, primary contact, phone number, email address, home address, service radius, preferred language, roof types and other trades, proposed unit prices, regular crew size, available crew capacity, insurance status and attestation, consent version and time, accepted website-terms version and time, submission time, and an application receipt identifier. Please do not send identification documents, tax records, bank information, insurance documents, or other private files through this form.

When the pricing-draft feature is available, we save selected trades and materials, proposed prices, unfinished price entries, and records of copied or edited prices before you submit. A secure browser cookie lets you resume that pricing draft in the same browser for up to two hours. Contact and address details are saved only when you submit the application. Expired pricing drafts become inaccessible and are removed during draft cleanup. Submitted applications retain the pricing history needed for review under the retention policy below.

Technical and usage information

When you use the site, we and our hosting and security providers may process IP address, browser and device information, request time, referring page, pages and features used, diagnostic information, and similar request or interaction data. For crew-form abuse prevention, we convert the available network address into a keyed security hash and do not deliberately store the raw network address in the crew-application database.

Sensitive information

A property's exact location may be considered sensitive personal data under applicable law. We use it to identify the requested property and prepare a property-specific estimate. A privacy notice is not consent where the law requires consent for sensitive-data processing; such processing requires a separate consent.

Communications

We collect the contents of communications you send us and related delivery, response, call-routing, source, time, and duration information. If a call is recorded, we will provide any notice or obtain any consent required by law.

Where information comes from

We collect information directly from you, automatically from your browser or device, from advertising or referral sources, and from service providers and public property, mapping, building, and weather sources. Our estimate software uses address, mapping, satellite, street-view, roof-measurement, storm-data, and image-processing services to prepare property-specific results.

How we use information

We use personal information to:

• provide, calculate, and follow up on requested roofing estimates;
• review crew applications and contact applicants about possible crew work;
• operate, maintain, personalize, secure, debug, and improve the website and estimate tool;
• measure advertising and website performance and understand how people find and use our services;
• communicate about requests, services, promotions, and company updates;
• prevent spam, fraud, abuse, security incidents, and duplicate submissions;
• create records of consent, delivery, requests, and opt-outs; and
• comply with law, protect rights and safety, and establish or defend legal claims.

Communications and marketing choices

We may use the contact information you provide to respond to your request and for service-related communications. If you separately consent where required, we may also send promotional email, telephone calls, or text messages, including messages sent with automated dialing technology or an artificial or prerecorded voice. Consent to marketing is not a condition of purchasing a product or service, and this privacy notice is not consent to receive automated marketing.

You may unsubscribe from promotional email using the link in the message. You may opt out of promotional text messages by replying STOP and may revoke calling or texting consent by any reasonable method that clearly communicates your request, including contacting us at hello@atcostroofing.com. Message and data rates may apply. An opt-out from marketing does not prevent necessary communications about a request or transaction you initiated.

Browser storage, analytics, and advertising

The public site uses local storage to remember a light, dark, or system theme and session storage to remember whether you dismissed an on-screen notice. These preferences are stored in your browser. The estimate tool and our providers may use cookies or similar technologies needed to deliver, secure, and measure their services.

We plan to use services such as Google Analytics, Google Ads, Meta Pixel, retargeting, and call tracking. When enabled, these services may process online identifiers, IP address, browser or device information, referring pages, ad and site interactions, approximate location derived from IP address, and call-source metadata. We use this information to measure performance, attribute requests, limit repeated ads, and show advertising that may be more relevant to you.

We do not sell personal data. Targeted advertising is a separate privacy practice: advertising platforms may receive identifiers and activity data to select or measure ads based on activity across websites or services. You may request to opt out of targeted advertising by emailing hello@atcostroofing.com with the subject "Targeted Advertising Opt-Out." We will also honor browser- or device-based universal opt-out signals when required by applicable law.

How we disclose information

We may disclose personal information to:

• hosting, database, mapping, property-data, image-processing, analytics, advertising, call-tracking, communications, customer-management, scheduling, security, and professional-service providers that support our operations;
• authorized internal staff who need the information to respond to leads, review crew applicants, operate the services, or fulfill the purposes described above;
• the separate internal At-Cost application when crew-application transfer is enabled, solely for authorized staff review and possible onboarding;
• government authorities, courts, insurers, advisers, or other parties when we believe disclosure is required or appropriate to comply with law, protect rights or safety, investigate misuse, or handle a claim or dispute; and
• a buyer, successor, lender, or adviser involved in a proposed or completed merger, financing, reorganization, sale, or transfer of all or part of the business, subject to appropriate safeguards.

We may also disclose information at your direction or with your consent. We do not authorize service providers acting only for us to use personal information for their own unrelated purposes.

Crew-application transfer

The website stores a crew application in an isolated website database and sends an operations notification. When a compatible transfer is enabled, it sends a signed, replay-resistant copy to the separate internal At-Cost application for review by authorized staff. That transfer does not create an account, employment, an independent-contractor agreement, a job assignment, or payment authority. Any later verification, onboarding, agreement, or activation is a separate process.

Retention

Five years from the date of collection is our maximum routine retention period for personal information. This period applies to estimate leads, crew applications, operational messages, call-tracking records, advertising audiences, processor copies, internal crew-application copies, and routine backups. A verified deletion request may require deletion sooner. We may retain limited information longer when required by law, while a transaction, warranty, dispute, investigation, or legal hold remains active, or when necessary to maintain a suppression record honoring an opt-out. When an exception ends, we delete or de-identify the information under our normal process.

Security

We use administrative, technical, and physical safeguards designed to protect personal information, including access restrictions and security controls around form submissions and internal transfers. No system or transmission method is completely secure, so we cannot guarantee absolute security.

Your privacy rights

Subject to applicable law, you may ask us to confirm whether we process your personal information and request access, correction, deletion, or a portable copy. You may also request to opt out of targeted advertising, a sale of personal information, or qualifying profiling, and you will not be discriminated against for exercising a privacy right.

Submit a request by emailing hello@atcostroofing.com. An authorized agent may use this method and should identify the person represented and provide proof of authority. We may take reasonable steps to verify your identity, the agent's authority, and the request before acting. When applicable law requires it, we will respond within 45 days, subject to a permitted extension. If we deny a request, you may appeal by email, clearly labeling the request "Privacy Appeal," and explaining why you believe the decision should be changed. We will review the appeal and respond as required by applicable law. If we deny the appeal, you may submit a complaint to the Texas Attorney General.

Children

The website is intended for adults seeking roofing services and adults authorized to represent a roofing crew. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child provided personal information, contact us so we can investigate and delete it as appropriate.

Processing locations

At-Cost currently markets roofing services in Texas. Our service providers may process information in the United States and other locations where they operate, subject to their contractual and legal obligations.

Changes to this notice

We may update this notice when our services, vendors, or legal obligations change. We will post the updated notice here and revise the date above. We will provide additional notice or request consent when required for a material change.
